The type of personal information I collect
I currently collect and process the following information:
Personal identifiers, contacts and characteristics (for example, name and contact details)
Details about the person who has died.
Details about family and friends and their connection to the one who has died.
Details about requests and preferences regarding the ceremony.
How I acquire the personal information
Most of the personal information I process is provided to me directly by the client for the purpose of planning and writing the ceremony.
I also receive personal information indirectly from funeral directors.
Why I have it
I use the information given to fulfil my contractual obligation of devising ceremonies which reflect the client’s wishes and those of the person who has died.
Where applicable, I also use the information to write eulogies.
Who the information may be shared with
It may be necessary to share personal information with the funeral director, crematorium, cemetery, burial site or alternative venue connected to the ceremony to facilitate the smooth running of the proceedings.
How I store personal information
I keep personal information on file for 6 years in accordance with HMRC regulations in case I am required to respond to any form of investigation.
Personal information is securely stored: all electronic records are cloud-based and all paper records are shredded following the ceremony.
After 6 years, electronic records are deleted.
Client data protection rights
Under data protection law, the client has rights including:
Right of access - clients have the right to ask me for copies of their personal information.
Right to rectification - clients have the right to ask me to rectify personal information they think is inaccurate. They also have the right to ask me to complete information they think is incomplete.
Right to erasure - clients have the right to ask me to erase their personal information in certain circumstances.
Right to restriction of processing - clients have the right to ask me to restrict the processing of their personal information in certain circumstances.
Right to object to processing - clients have the right to object to the processing of their personal information in certain circumstances.
Right to data portability - clients have the right to ask that I transfer the personal information they gave me to another organisation, or to them, in certain circumstances.
Please contact me using the above contact information if you wish to make a request. Clients are not required to pay any charge for exercising their rights. If they make a request, I have one month to respond to them.
How to complain
If a client has concerns about my use of their personal information, they can address a complaint to me using the above contact details. If they feel I have not responded reasonably to their request, they can also complain directly to the ICO:
